HF SCENTS
Last updated: 10 August 2026
This Privacy Policy explains how YASIIN LTD, trading through HF Scents at hfscents.co.uk (“HF Scents”, “we”, “us” or “our”), collects, uses, stores and shares personal information when you visit our website, contact us or place an order. We aim to handle personal information fairly, securely and transparently in accordance with applicable UK data protection law.
1. Who We Are
The website hfscents.co.uk is operated by LUXURIOUS LONDON LTD.
Business address: 52 Harringworth Road, LE5 6TL, United Kingdom.
General/privacy email: hfscentsuk@gmail.com
Customer contact email: contact@hfscents.co.uk
For data protection purposes, LUXURIOUS LONDON LTD is the controller of the personal information that we decide how and why to use in connection with our store.
2. Information We Collect
We only collect information that is reasonably needed to run our online store, fulfil orders, provide support and protect the website. Depending on how you use HF Scents, this may include:
- Identity and contact information, such as your name, email address, telephone number, billing address and delivery address.
- Order information, including the products you purchase, order value, delivery method, order status and related customer-service communications.
- Payment and transaction information. Payments are processed through Stripe. We do not need to store your full card number on our own website in order to fulfil your order; payment information is handled through the payment service used at checkout.
- Technical information that may be generated when you use the website, such as IP address, browser/device information, security logs and essential cookie information.
- Information you choose to provide when you contact us by email or through a website contact form.
- Marketing preferences, but only if we introduce an email marketing or newsletter service and you choose to receive such communications.
3. Guest Checkout
HF Scents currently uses guest checkout. You do not need to create a customer account to place an order. We will still need the information required to process payment, fulfil the purchase, arrange delivery, provide order updates and deal with returns, refunds or customer enquiries.
4. How We Use Your Information
We may use personal information to:
- accept, process and fulfil your order;
- take and verify payment and help prevent fraudulent or unauthorised transactions;
- send order, payment, dispatch, delivery, return or refund communications;
- provide your delivery details to the courier where necessary to deliver your parcel;
- answer questions, complaints or customer-service requests;
- maintain business, tax, accounting and transaction records where required;
- protect our website, customers and business against misuse, fraud, security incidents or legal claims;
- improve the operation and usability of our store using information that is lawfully available to us; and
- send optional marketing communications only where we have an appropriate lawful basis and, where required, your consent.
5. Our Lawful Bases
UK data protection law requires us to have a lawful reason for using personal information. The lawful basis depends on why we are using the information.
- Contract: when processing is necessary to take your order, receive payment, deliver your purchase, handle a return or refund, or otherwise provide the service you requested.
- Legal obligation: when we need to keep or disclose information to comply with applicable law, tax, accounting or regulatory requirements.
- Legitimate interests: where reasonably necessary to operate and secure our business, prevent fraud, improve customer service, establish or defend legal claims, or manage ordinary business administration, provided those interests are not overridden by your rights.
- Consent: where we specifically ask for permission, for example for certain non-essential cookies or optional direct marketing. Where processing relies on consent, you may withdraw it at any time.
6. Payments – Stripe
We use Stripe to process online card payments. When you pay, relevant payment and transaction information is transmitted to Stripe so that the payment can be authorised, processed and protected against fraud. Stripe may process personal information under its own privacy terms and legal responsibilities. HF Scents does not use your payment information for purposes unrelated to the transaction simply because Stripe processes the payment.
7. Delivery – Evri
We use Evri for parcel delivery. To fulfil your order, we may provide Evri with information reasonably necessary for delivery, such as your name, delivery address and relevant contact details. Evri may use that information to provide delivery and tracking services and in accordance with its own privacy practices.
8. Cookies and Similar Technologies
Our website may use cookies or similar technologies that are necessary for functions such as the shopping basket, checkout, security and site preferences. If we later add analytics, advertising pixels or other non-essential tracking technologies, we will review this policy and our cookie controls before using them and request consent where UK law requires it.
At the date of this policy, analytics and advertising tracking arrangements are not stated here as active because they have not yet been finalised. This section should be updated before any such service is enabled.
9. Marketing
We will not treat placing an order as automatic permission to send unrelated marketing. If HF Scents introduces a newsletter or promotional email service, customers will be given an appropriate choice to subscribe where required. Marketing preferences can be changed and consent can be withdrawn at any time using the method provided in the communication or by contacting us.
10. Who We Share Information With
We do not sell customer personal information. We may share only the information reasonably necessary with trusted recipients involved in running the store, including:
- Stripe and relevant payment networks or financial institutions for payment processing, security and fraud prevention;
- Evri and other delivery providers if needed to fulfil or resolve a delivery;
- website hosting, e-commerce, IT, security or support providers that process information for the operation of the store;
- professional advisers such as accountants, insurers or legal advisers where reasonably necessary; and
- public authorities, regulators, courts or law-enforcement bodies where disclosure is required or permitted by law.
11. International Data Transfers
Some technology or payment service providers may process information outside the United Kingdom. Where a restricted international transfer of personal data occurs, we expect the relevant transfer to be made using an appropriate lawful safeguard or other mechanism recognised by UK data protection law. The precise arrangements can depend on the service provider and the services enabled on the website.
12. How Long We Keep Personal Information
We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected, including order fulfilment, customer support, accounting, tax, fraud prevention and the establishment or defence of legal claims. Different records may therefore be kept for different periods. When information is no longer required, we will delete it, anonymise it or otherwise dispose of it securely where reasonably practicable.
13. How We Protect Your Information
We use reasonable administrative and technical measures appropriate to a small online retail business to reduce the risk of unauthorised access, loss, misuse, alteration or disclosure of personal information. No website or internet transmission can be guaranteed to be completely secure, so we also limit access to personal information to people and service providers that need it for legitimate business purposes.
14. Your Data Protection Rights
Depending on the circumstances, UK data protection law may give you rights to:
- ask for access to personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to erase personal information in certain circumstances;
- ask us to restrict the way we use personal information in certain circumstances;
- object to certain processing, including certain direct marketing;
- receive certain information in a portable format where the right to data portability applies;
- withdraw consent at any time where consent is the lawful basis for processing; and
- complain to the UK Information Commissioner’s Office (ICO) if you have concerns about how your personal information has been handled.
These rights are not absolute in every situation. We may need to verify your identity before acting on a request and may retain information where the law permits or requires us to do so.
15. Children’s Privacy
HF Scents is an online perfume retailer and our products and services are not directed at children for the purpose of collecting their personal information. We do not knowingly seek to collect personal information from children for marketing purposes.
16. Third-Party Websites and Services
Our website may contain links to websites or services operated by other organisations. Their privacy practices are outside our control. You should read the privacy information provided by those organisations before submitting personal information to them.
17. Changes to This Privacy Policy
We may update this Privacy Policy when our website, suppliers, technology, legal obligations or data practices change. The latest version will be published on hfscents.co.uk with an updated revision date. If a change materially affects how we use personal information, we will take reasonable steps to bring the change to the attention of affected users where required.
